What Is Deal Progression (and How Does It Work)?
Updated October 8, 2026
Smart Deal Progression helps teams turn customer conversations into suggested CRM updates, follow-up emails, and action items. CRM property updates can require manual review or be approved automatically, depending on how your admin configures smart data capture. This lets teams choose where automation is appropriate and where a person should confirm the information. Follow-up emails generated through the Notetaker email editor are reviewed and sent by a user.

If you’ve read how Smart Deal Progression solves the CRM data problem and want the setup-level detail, this is that deep-dive.
What Do I Need Before I Can Use It?
Three requirements, all necessary:
- An assigned Sales or Service seat.
- A connected calendar.
- HubSpot’s notetaker installed, or a third-party transcript integration.
As of this writing, the feature is opt-in: a Super Admin needs to opt the account into the Meeting Notetaker with Smart Deal Progression beta before it’s available to use.
How Do I Configure Which Properties It Can Update?
Super Admins configure eligible properties under Settings → Data Management → Data Capture:
- Select Use smart data capture.
- Choose the object type.
- Use Add [object] property to select eligible properties.
- Set the approval behavior for each property.
Select Automated to approve suggestions automatically. Clear it to require manual review.
HubSpot enables automatic approval for Call outcome and Meeting outcome by default. You can clear their Automated checkboxes to require review.
We recommend starting with manual review for fields that materially affect forecasting, qualification, or customer commitments. Evaluate suggestion quality before enabling automatic approval more broadly.

What Does It Cost to Run?
This is a recent and important change worth knowing before you configure anything. Per HubSpot’s own documentation, starting April 14, 2026, custom properties added to smart data capture settings consume 10 HubSpot Credits per custom property, per transcript run, powered by the Data Agent under the hood. Standard properties aren’t affected and don’t consume credits regardless of how many you add.
A concrete example straight from HubSpot: if five transcripts each run against five custom properties, that’s 250 credits consumed. If you’d already configured custom properties in smart data capture before this date, HubSpot reset those settings and removed existing custom properties to avoid unexpected credit usage. If that applies to your account, you’ll need to re-add them deliberately after April 14, 2026, now that you know they’ll consume credits going forward.
How Do Recommendations Actually Reach a Rep?
HubSpot sends notifications automatically, timing depends on the activity type:
| Activity | Timing | Notification |
|---|---|---|
| Meeting | Instant | “Next steps ready: [Meeting name]” |
| Call | Instant | “CRM updates from [call title] are ready for approval” |
| Meetings & Calls | Daily, 4pm | “Your follow-up checklist for today’s meetings” |
Recommendations are also visible directly on the deal record, if there are pending suggestions, the record’s highlight card shows “X data changes found” with a Review button, and on the deal index page, you can review suggestions in bulk via Actions > Review X data suggestions.
What’s the Difference Between Action Items and CRM Update Suggestions?
Action items identify follow-up work from a conversation. CRM update suggestions propose changes to record properties.
Treat them as separate outputs when configuring your process. For CRM properties, approval behavior depends on whether the admin has enabled Automated for that property. Properties requiring manual review should be checked against the conversation before approval.
For action items, confirm the intended owner, timing, and next step before turning them into assigned work.

How Do Follow-Up Emails Get Drafted?
From the Review action items section on a meeting record, click Generate follow-up email. You’ll get a fully editable draft, recipient, CC/BCC, subject line, and body, that you can associate with additional records before sending. Nothing sends automatically; every draft passes through a human before it goes out.
The FSM Perspective: This Is Data Hygiene With a Built-In Audit Trail
The “hover over Source to see the exact transcript moment” detail is a small feature with an outsized practical benefit: reps don’t have to blindly trust a suggestion, and managers reviewing pipeline data later can see exactly why a property changed. That traceability is worth building your data governance around, not just accepting as a nice-to-have.
This ties directly into the point Anna made in her piece on the CRM data problem: the tool is a maintenance layer, not a substitute for having clean pipeline definitions in the first place. If your deal stages themselves are poorly defined, Smart Deal Progression will faithfully keep them updated, just accurately reflecting a process that was never that clear to begin with. That’s the Process pillar of our Scalable Business Framework: fix the definition first, then let automation maintain it.
Frequently Asked Questions
Does Smart Deal Progression update my CRM automatically without review?
It can. Smart data capture supports automatic approval or manual review for each configured property. Your admin controls that behavior using the Automated checkbox. Follow-up emails generated through the Notetaker email editor still require a user to review and send them.

What properties can it suggest updates to?
Whatever you’ve added to smart data capture settings. Standard properties don’t consume credits; custom properties do, as of April 14, 2026.
Do I need a specific integration to generate transcripts?
HubSpot’s own notetaker works, or a supported third-party transcript integration.
Is this feature generally available?
It’s currently opt-in via a beta a Super Admin enables for the account.
