HubSpot Subscription Billing: How Revenue Hub Handles Recurring Revenue

For most companies managing recurring revenue on HubSpot, subscription billing has always been the weak link. You close a deal in HubSpot and then hand it off, to Stripe, to Chargebee, to QuickBooks, to a spreadsheet someone updates every month. The billing happens somewhere else, which means the people who need that information, sales, CS, finance, have to go somewhere else to find it.

HubSpot Revenue Hub closes that gap. Subscription billing is now native to HubSpot, running directly from the contract records created when a quote is accepted. This post covers exactly how it works, what it includes, who it’s built for, and where its current limits are.

Why Subscription Billing in Your CRM Changes Everything

Subscription billing in a standalone tool, Stripe Billing, Chargebee, Recurly, is powerful but disconnected. It runs your billing accurately, but the billing data lives outside your CRM. That creates four problems that compound over time.

CS walks into renewals blind. If the contract details and billing history live in a separate system, your CS team has to pull that information before every renewal conversation. If they forget, or if the data is stale, they’re negotiating without the full picture.

RevOps reconciles manually every month. Someone has to pull what was sold (CRM) against what was billed (billing platform) and make sure they match. That reconciliation takes time and creates errors when it doesn’t.

Finance can’t see revenue without asking for a report. Real-time visibility into what’s been collected vs. what’s outstanding requires either a separate dashboard or a manual export. Neither is fast enough for day-to-day decisions.

AI can’t act on signals it can’t see. If your billing data lives outside your CRM, Breeze can’t flag at-risk renewals, surface overdue invoices, or recommend upsell actions based on payment history. The AI operates on incomplete context.

Revenue Hub’s answer is simple: move billing into HubSpot, where it runs alongside every customer relationship. When that happens, all four problems go away.

How HubSpot Subscription Billing Works

Subscription billing in Revenue Hub is powered by the Contracts object, the record created automatically when a buyer accepts a quote. The contract is the single source of truth for what was sold, at what price, on what billing schedule, and when it renews. Everything in billing flows from it.

Here’s the full sequence:

Quote accepted → Contract created automatically. When a buyer signs a Revenue Hub quote, the contract record is created without manual intervention. It carries the products, pricing, billing schedule, term dates, and contract value (ACV, ARR, MRR, TCV).

Contract defines the billing schedule. The billing schedule is inherited from the line items in the accepted quote. Monthly, quarterly, annual, or mixed frequencies across different products in the same contract. No manual recreation of billing logic after close.

Invoices generate automatically. On each billing date, invoices are created from the contract’s billing schedule. One-time and recurring line items are handled automatically. Reps and RevOps don’t create invoices manually.

Customers pay. Invoices are sent to customers with a payment link. Payment is collected via HubSpot Payments or Stripe. Stored payment methods allow subscription charges to run automatically without buyer action each cycle.

Payment status flows back into HubSpot. Every paid invoice updates the associated contract record, contact record, and company record in real time. Every team sees current payment status in the CRM, no exports, no asking Finance.

What’s Included in HubSpot Subscription Billing

Contracts

The contract record is the operational hub for every recurring relationship. Once created from an accepted quote, it tracks:

Committed revenue metrics. ACV, ARR, MRR, and TCV are calculated automatically from the contract’s line items. RevOps can report on committed revenue without exporting from a billing platform.

Change quotes (mid-term expansions). When a customer adds seats, upgrades their plan, or adjusts quantities mid-term, a change quote is created directly from the contract record. It inherits all existing entitlements, the rep adds only the delta. Proration is calculated automatically. The contract updates rather than creating a new record.

Renewal quotes. Generated from the contract record at renewal time. The renewal quote inherits all current products and entitlements. Apply uplift rules, adjust terms, or change the product mix before sending. Renewal contract records link automatically to the original for a complete contract history.

Ramps. Roll out pricing or product changes over time with contract-level ramp configurations.

Downgrades. Manage customer scale-backs cleanly with contract amendments that update the billing schedule automatically.

Subscriptions and Automated Invoicing

Subscription management. Create and manage recurring billing relationships tied to contract line items. Monthly, quarterly, or custom cadence per line item. Staggered start and end dates allow phased onboarding, individual line items in the same contract can start at different times.

Mixed billing frequencies. A single contract can carry monthly billing for one product, quarterly for another, and annual for a third. The billing engine handles each line item on its own schedule without manual splits.

Automated invoice creation. Invoices generate from the billing schedule automatically. For companies with a large invoice volume, eliminating manual invoice creation is one of the highest-value outcomes from Revenue Hub billing.

Billing schedules. The billing schedule on each contract provides a full view of all invoices created to date, plus projected invoice amounts for future periods. Finance can see what’s coming without running a report.

Invoice Management

Credit memos. Accurately manage invoice adjustments, overpayments, and corrections without creating manual workarounds. Credit memos connect to the original invoice record and update the customer’s balance correctly.

Automated invoice reminders. Configure reminder sequences for unpaid invoices, timing, messaging, and escalation path. Automated reminders eliminate the manual tracking that RevOps or finance teams currently do for collections.

Overdue tracking. Every overdue invoice is visible in HubSpot alongside the customer record. No separate collections queue needed.

AI-Powered Collections

Breeze Invoice Prioritization. Breeze analyzes your open invoices and surfaces the ones that need attention, which are most overdue, which customers have a pattern of late payment, which require a follow-up call vs. an automated reminder. This is the difference between chasing every invoice manually and letting AI do the triage.

Revenue Agent (private beta). Revenue Agent runs invoice collections end to end autonomously, sending reminders, following up on overdue invoices, and escalating based on rules you configure. For companies with a high invoice volume, this is the most operationally significant AI feature in Revenue Hub’s billing layer.

Customer Agent (beta). Helps customers complete payments directly through chat, email, or WhatsApp, finding and sending invoices with secure checkout links or sharing the right payment link when buyers are ready to pay.

Accounting Integrations

QuickBooks Online sync. Bidirectional sync of contacts, products, invoices, and payment status between HubSpot and QuickBooks Online. Revenue Hub handles the CRM and billing workflow; QuickBooks remains the accounting system of record for your general ledger, tax, and reporting.

Xero integration. Same bidirectional sync capability for Xero users.

Automated sales tax. Sales tax calculation is available on invoices. Note: in EU countries, billing is available but is not yet compliant with e-invoicing mandates in all jurisdictions, and VAT automation has limitations. EU customers should evaluate this carefully.

Who HubSpot Subscription Billing Is Built For

The billing features in Revenue Hub are purpose-built for SaaS and services companies with 20–500 employees managing recurring or contract-based revenue. The specific signals that make it a strong fit:

  • You’re using Stripe, Chargebee, or Recurly for subscription billing and want to consolidate
  • You’re creating invoices manually in QuickBooks or via a disconnected process
  • CS is walking into renewal conversations without knowing what the customer is currently paying
  • RevOps spends meaningful time reconciling CRM data against billing data every month
  • Finance needs to ask someone for a report to see what’s been collected vs. outstanding
  • You want Breeze to be able to surface renewal signals and overdue invoices automatically

What HubSpot Subscription Billing Doesn’t Do Yet

Usage-based and metered billing. Revenue Hub’s billing engine is built for fixed, seat-based, and tiered pricing today. Consumption-based billing — billing customers based on API calls, usage volume, or metered events — is on the roadmap for later in 2026. If usage-based billing is central to your model, this is a meaningful gap today.

Complex revenue recognition. Revenue Hub provides revenue reporting and billing visibility. It is not an ASC 606 revenue recognition compliance engine. Companies with complex deferred revenue or multi-element arrangement requirements should evaluate this carefully and maintain their accounting system as the compliance system of record.

Milestone billing. Billing triggered on project completion or defined milestones — common in professional services — is on the HubSpot roadmap for late Q3/Q4 2026. Scope milestone-dependent customers carefully against that date.

Contract redlining. The Contracts object manages billing and renewal motions. It does not support clause-level negotiation or legal redlining on contract language.

Pricing

Billing features in Revenue Hub are currently included at no additional monthly cost. A pricing model is coming in September 2026. Activating billing does not require a Revenue Hub CPQ seat, billing is available to all Revenue Hub customers. CPQ features (quotes, approvals, templates) require a Revenue Hub Professional ($95/seat/year) or Enterprise ($140/seat/year) seat.

Payments are transaction-based with no monthly platform fee, 0.5% for HubSpot Payments processing.

The case for Revenue Hub billing isn’t that it has more features than Stripe or Chargebee. It’s that it eliminates the integration between your CRM and your billing platform and everything that integration breaks over time.

Frequently Asked Questions

Does HubSpot subscription billing replace Stripe entirely? It replaces Stripe Billing for subscription management and recurring invoicing. Stripe as a payment processor can still be used alongside Revenue Hub, you select Stripe as your payment processor during setup. The two things are separate: Stripe the payment processor (how money moves) vs. Stripe Billing (the subscription management layer). Revenue Hub replaces the latter, not necessarily the former.

Can I set different billing frequencies for different products in the same contract? Yes. Line items in the same contract can each have their own billing frequency, monthly for one product, annual for another. The billing engine handles each on its own schedule.

What happens if a customer wants to upgrade mid-subscription? You create a change quote directly from the contract record. It inherits existing entitlements and adds only the delta. Proration is calculated automatically based on the remaining term. The contract updates in place rather than creating a new record.

How do automated invoice reminders work? You configure reminder sequences, timing, message content, and escalation path, during billing setup. When an invoice passes its due date without payment, reminders trigger automatically on the schedule you define. Breeze Invoice Prioritization also surfaces invoices that need human intervention vs. those that will likely resolve through automation.

Is billing available globally? CPQ and billing are available globally. HubSpot native payments are available in the US, UK, and Canada. Stripe processing is available globally. EU customers should note the e-invoicing compliance limitations mentioned above.

When is the billing pricing model changing? HubSpot has announced a billing pricing model coming in September 2026. Currently, billing features carry no additional monthly cost beyond the Revenue Hub seat for CPQ users.

How Fast Slow Motion Helps

Getting subscription billing set up correctly in Revenue Hub, contracts configuration, billing schedule logic, automated invoice setup, accounting integration, and the AI collections layer, is implementation work that benefits significantly from hands-on experience. The most common issues we see are product catalog mismatches that cause invoice errors, accounting sync misconfigurations that create reconciliation problems downstream, and billing schedule logic that doesn’t match how the company actually sells.

If you’re planning to move subscription billing into Revenue Hub and want to do it without those headaches, we’re glad to help.
